Zyndara Community - Data Protection Policy

1. Introduction

a. The Zyndara Staff Team (“we”, “our”, “us”) is committed to protecting the personal data of all users interacting with our Discord server, services, and related systems.

b. This policy explains how we collect, process, store, and protect personal data in accordance with the EU General Data Protection Regulation (GDPR).

2. Scope

This policy applies to:

• all users of the Zyndara Discord server
• all staff members handling personal data
• all systems and tools used for moderation, support and community managment
• Legitimate business interests
• Protection of vital interests

b. It covers all personal data collected, processed, stored, or shared through Discord or related services.

3. Categories of Data We Collect

a. Discord-related data

• Discord User ID
• Discord Username and discriminator
• Discord User's age and birthday
• Server join and leave Information
• Assigned roles
• Message edits and deletions (via Carl-Bot logs)
• Reports submitted by users
• Screenshots provided voluntarily
• Moderation notes
• Ban and punishment history

b. Support and ticket data

• Ticket content
• Attachments
• User communications
• Role-play application data

c. Technical data

• Timestamps
• Bot-generated logs
• Internal system metadata

We do not collect IP addresses directly. However Discord may process IP addresses to its own privacy policy.

4. Legal Basis for Processing

The Network processes personal data based on one or more of the following legal grounds:

• Art. 6(1)(a) GDPR – Consent (e.g., submitting tickets or RP applications)
• Art. 6(1)(b) GDPR – Contractual necessity (participation in the community)
• Art. 6(1)(f) GDPR – Legitimate interests

  • moderation and dispute resolution

5. Purpose of Data Processing

We process personal data for the following purposes:

• moderation and enforcement of server rules
• handling reports, tickets, and support requests
• maintaining community safety
• processing role-play applications
• preventing spam, harassment, and abuse
• documenting moderation actions
• resolving disputes between users

6. Tools and Third-Party Services

a. Discord

Our server operates on Discord, provided by Discord Inc. (USA). Discord processes user data according to its own privacy policy.

b. Carl-Bot

We use Carl-Bot for:

• logging message edits and deletions
• moderation actions
• ticket handling (if enabled)

Carl-Bot may store message metadata, moderation logs, and ticket content. Data may be transferred to the United States.

7. Data Storage and Retention

We store personal data only as long as necessary for the purposes described in this policy:

• Moderation logs: 12 months
• Ban history: indefinitely (for server security)
• Tickets: 6–12 months
• Reports: 6–12 months
• Role-play applications: indefinitely
• Role-play characters info: indefinitely

Data may be deleted earlier upon request, unless required for security or legal reasons.

8. Data Security

We implement appropriate technical and organizational measures to protect personal data, including restricted staff access, secure bot configurations, internal guidelines for handling sensitive data, and regular staff awareness.

9. Data Subject Rights

Users have the following rights under the GDPR:

10. International Data Transfers

Because Discord and Carl-Bot operate in the United States, personal data may be transferred outside the EU. Such transfers are based on Standard Contractual Clauses (SCCs) and, where applicable, Art. 49 GDPR derogations, as participation in the community is voluntary.

11. Data Breach Management

In the event of a data breach, we will:

• investigate the incident without undue delay
• notify affected users and/or authorities where legally required
• implement corrective and preventive measures
• document the incident internally
